Manage content

What's New

The new intranet update includes significant improvements and changes. 

All users can now access and filter their own content via Manage Content

    Manage Content

    Manage content allows you to manage:

    • Workflow
    • Inappropriate content’  Comments
    • Files’ such as images and documents.

     

    Steps
    1. Locate ‘Apps‘ in the ‘Workbar‘ and select “Manage content
    2. Select filter results tab if filters aren’t already open
    3. On the left hand side of the screen select the relevant filters you want to use
    4. Once you have narrowed down the results by selecting the relevant filters select “Apply” at the bottom of the left-hand drawer. Alternately search if you already know the title
    5. Select the ‘Content‘ you would like to ‘Manage
    6. Select ‘Delete content‘ to delete the content or ‘Cancel‘ to go back to the ‘Manage content‘ screen

    Moderate Content

    Have the ability to search for and ‘Moderate’ content

     

    Steps
    1. Locate ‘Apps‘ in the ‘Workbar‘ and select “Manage content
    2. Select the tab “Moderate content
    3. On the left hand side select “Sort” and choose from the following options:
      1. ‘Forever’
      2. ‘Today’
      3. ‘Yesterday’
    4. Filter by‘:
      1. ‘Content type’
      2. ‘Workflow state’
      3. ‘Menu item’
    5. Select “Apply
    6. Select the ‘Content‘ you would like to ‘Moderate‘ by selecting ‘Review
    7.  You will be redirected to that ‘Content‘ select:
      1. Keep reported content
      2. Delete reported content

    Manage Comments

    Being able to ‘Manage comments’ allows you to have better control of interactions with different pieces of content.

     

    Steps
    1. Locate ‘Apps‘ in the ‘Workbar‘ and select “Manage content
    2. Select the tab “Manage comments
    3. On the left hand side select “Sort” and choose from the following options:
      1. ‘Forever’
      2. ‘Today’
      3. ‘Yesterday’
    1. Filter by‘:
      1. ‘Content type’
      2. ‘Workflow state’
      3. ‘Menu item’
    1. Select “Apply 
    2. Select the ‘Comment‘ you would like to ‘Manage
    3. You will be redirected to that ‘Comment‘. Select either:
      1. Delete comment
      2. Cancel

    Moderate Comments

    Being able to ‘Moderate comments’ allows you to control whether or not comments appear on particular content

     

    Steps
    1. Locate ‘Apps‘ in the ‘Workbar‘ and select “Manage content
    2. Select the tab “Manage comments
    3. On the left hand side select “Sort” and choose from the following options:
      1. ‘Forever’
      2. ‘Today’
      3. ‘Yesterday’
    4. Filter by‘:
      1. ‘Content type’
      2. ‘Workflow state’
      3. ‘Menu item’
    5. Select “Apply
    6. Select the ‘Content‘ you would like to ‘Moderate‘ by selecting ‘Review
    7. You will be redirected to that ‘Comment‘ select:
      1. Keep reported comment
      2. Delete reported comment

    Files

    Have the ability to filter through ‘Files’ to access content

     

    Steps
    1. Locate ‘Apps‘ in the ‘Workbar‘ and select “Manage content
    2. Select the tab “Files
    3. On the left hand side select “Filter type” and choose from the following options:
        1. ‘All’
        2. ‘Audio’
        3. ‘Image’
        4. ‘MS Excel’
        5. ‘MS Powerpoint’
        6. ‘MS Word’
        7. ‘Open document format’
        8. ‘Open document type’
        9. ‘Pdf’
        10. ‘Video’
    4. Tick “show files with 0 use count
    5. Select “Menu item
    6. Tick “Include submenu items
    7. Select “Author
    8. Select “Apply
    9. Alternatively ‘Search’ for the content in the ‘Search bar’  
    10. Select the amount of rows per page

     

    Bulk Actions

     

    Steps

     

    1. Navigate to ‘Apps’ in the ‘Workbar
    2. From the options, select ‘Content Management
    3. You will be redirected to the ‘Content Management’ screen
    4. Select the ‘Manage Content’ tab
    5. You will be redirected to the ‘Manage Content’ screen
    6. On the ‘Left Hand Side’ (LHS) ‘Sort by’ 
      1. Updated date
      2. Created date
    7. Filter by
      1. Content type
      2. Workflow state
      3. Menu item
      4. Author 
    8. In the results table you can:
      1. Search files
      2.  Select the ‘Checkbox’ of a file
      3. Bulk actions
      4. Delete
    9. Select the checkbox of ‘Content(s)
    10. Select ‘Bulk actions
    11. You will be presented with the ‘Bulk actions’ drawer
    12. Input the:
      1. Workflow state
      2. Menu item
      3. Owner’ 
      4. Author’ 
    13. Select ‘Apply
