What's New

The new intranet update includes significant improvements and changes. 

Improvements applied to existing features and functionality include:

    • File validation –  ensures that the uploaded file meets the required format and data requirements.
    • Preview and edit data before importing required, so that the user can verify that the data is correct and complete, and easily identify and fix any errors or inconsistencies that need to be corrected before import.

Custom Importers

Be able to effectively use the ‘Custom Importers’ functionality on your intranet.
Note: These steps apply for People, Teams, Locations & Job roles

Prequisite

Preparing your data. See full guidance here

 

Steps
  1. Navigate to the ‘Workbar‘ and select the cog icon (Administration)
  2. You will be directed to the ‘Administration’ screen.
  3. Select the ‘Custom Importers‘ dropdown
  4. Select People, Teams, Locations or Job roles

    UPLOAD
  5. Upload your ‘CSV File‘ of the contents that you would like to import to the ‘Intranet

    REVIEW
  6. Once the ‘Upload‘ has taken place you will be presented with the ‘Review‘ stage screen
  7. Here you can see the ‘Columns‘, ‘Filters‘ & have the ability to ‘Export‘
  8. Select the slider to ‘Show field errors‘ 
  9. Resolve all errors and select ‘Import‘

    IMPORT
  10. Once the ‘Import‘ has taken place, select the ‘Results‘ tab to view a ‘Report‘ of all imported data.

Best practices for Imports

  • Run large extracts, or extracts with a significant number of changes, outside of peak site usage hours
  • Either create users, teams, locations, and job roles via the importer or do it manually via ‘User Management’ (avoid using both)

SSO specific

  • If you’re using Single Sign-On (SSO) authentication, new users must be created via the user import, as they must be assigned a value in the Authname field
  • If you’re using SSO, your data source for CSV generation as a best practice should be your SSO identity provider (e.g. Active Directory, Azure, Salesforce)

Steps
  1. As a ‘site admin‘ you will be ‘notified‘ via an ‘email‘ when an import is taking place.
  2. As a ‘site admin‘ you will be ‘notified‘ via an ‘email‘ once the import is complete.
