Find ‘Locations’ in the ‘Directory’
What's New
The intranet wide update in January 2024 includes significant improvements and changes.
In addition to there being new features and functionalities there have been some changes made to current features on the intranet. This can be seen with Directory types and so some of the changes that have occurred are:

- Team Chart – team chart has now been relocated within the ‘Teams’ dropdown of directory. Once this has been selected, it can be found in the ‘Teams Chart’ tab
- Org Chart – org chart has now been relocated from the ‘Directory’ dropdown to being found within ‘People’ under ‘Directory’. Once ‘People’ has been selected, select the ‘Org Chart’ tab.

Access Locations
Steps
- Navigate to the ‘Workbar’ and select the ‘Directory Icon’

- From the list of options displayed, select “Find locations”
- You will be directed to the “Locations” screen.
- Here you can see the following details:
- ‘Search Bar’
- ‘Locations from A-Z’
- ‘Your location’
- ‘Size of location by people’
- “Add Text Block”

- Select ‘Add text block‘
- Input ‘Block title‘
- Select ‘Start typing‘ to add ‘Content‘
- Select ‘Add another item‘ under the ‘Add a link‘ heading in order to add a link
- Select ‘Show order‘ if more than one link is added
- Use the ‘Drag handles‘ on the ‘LHS‘ (Left Hand Side) to change the order of the links
- Select ‘Save‘

What Is ‘Add Text Block’?
This feature allows you to add your desired ‘Content‘ along with the ability to add multiple links to areas both internal and external of the intranet. Once this has been ‘Created‘ and ‘Saved‘ it will appear at the top right of the page.
Locations
View a ‘Location’
Steps
- Navigate to the “Locations” screen
- Select a Location
- Here you can see the following details:
- ‘No. of Members’
- ‘No. of Roles’
- ‘No. of Teams’
- ‘No. of Skills’
- “Location Chart”
- “About” this location
Members
View ‘Members’ of a ‘Location’
Steps
- Navigate to the ‘Workbar’ and select the ‘Directory icon’
- From the list of options displayed, select “Locations”
- You will be directed to the “Locations” screen
- Select one of the ‘Locations‘
- Select the “Members” tab
- Here you can:
- Search for ‘Members’
- See all ‘Members’ of the location along with their ‘Role’ and ‘Team’
Dashboard
Be able to access the ‘Dashboard’ of a ‘Location’
Steps
- Navigate to the ‘Workbar’ and select the ‘Directory icon’
- From the list of options displayed, select “Locations”
- You will be directed to the “Locations” screen
- Select one of the ‘Locations‘
- Select the “Dashboard” tab
- Here you can see the following details:

- ‘Member Count’
- ‘Top skills’ – displays the skill and the no. of members
- ‘Top roles’ – displays the role and the no. of members
- ‘Top teams’ – displays the location and the no. of members

- Select “View all”
Admin
Be able to ‘Add’,’Edit’ and ‘Delete’ for ‘Locations’, ‘Regions’ and ‘Countries’
Steps
- Navigate to the ‘Workbar’ and select the ‘Directory icon’
- From the list of options displayed, select “Locations”
- You will be directed to the “Locations” screen
- Select the “Admin” tab
- Select the “Locations” page on the left hand side

- Select “Add Office Location” to add another ‘Location’
- Select the three dots to the right of a ‘Location’ to either “Edit” or “Delete”
- Select “Save” – when adding a ‘Office location‘

- Select the “Regions” page

- Select “Add Region” to add another ‘Region’
- Select the three dots to the right of a ‘Region’ to either “Edit” or “Delete”
- Select “Save” – when adding a ‘Region‘

- Select the “Countries” page

- Select “Add Country” to add another ‘Country’
- Select the three dots to the right of a ‘Country’ to either “Edit” or “Delete”
- Select “Save” – when adding a ‘Country‘

Admin Add/Edit
Be able to ‘Add’, ‘Edit’ for ‘Locations’, ’Regions’ and ‘Countries’
Steps
- Locate the Admin tab on the ‘Locations Page’
- Select “Add Location” or the three dots on the right of a ‘Location’ to edit an existing ‘Location’
- You will be redirected to the Add/Edit page for locations, here you need to:

- Input name of ‘Location’
- Add a description
- Input address details of the ‘Location’
- Choose to upload a map for the ‘Location’
- Input ‘Contact Information’
- Add any ‘Teams’ operating at the ‘Location’
- Configure search settings in the “Configuration Panel”
- On the Right hand side:
- Choose the ‘Location’ type
- Organise the ‘Location’ under the parent term
- Choose the publishing options
- Select “Save”
- Locate the Admin tab and then the ‘Countries’/ ’Regions’ page
- Select “Add Country”/”Add Region” or the three dots on the right of a ‘Location’ to edit an existing ‘Country’/ ‘Region’
- You will be redirected to the Add/Edit page for countries/regions, here you need to:

- Input the name of the ‘Country/ ‘Region’
- Add a description
- On the Right hand side:
- Choose the content type
- Organise the ‘Country/ ‘Region’ under the parent term
- Choose the publishing options
- Select “Save”
Add Location Type Best Practice
Learn about the best practice for how to add your desired ‘Locations’ and their ‘Location Types’ (Site, Building, Floor & Space).
Steps
- Locate the ‘Admin‘ tab on the ‘Locations’ page
- Select ‘Add Location Office‘
- Note: when creating your Location order you want it to be in a chronological order; as a result follow these steps in order to have your ‘Locations‘ to display correctly.
- The first ‘Location Type‘ you need to create is the base ‘Location‘. In this case that is the ‘Site Location‘
- Once that has been created, create the ‘Building‘ ‘Location Type‘ and on the ‘RHS‘ (Right Hand Side) ‘Organise‘ the Building to the ‘Site Location‘.
- Next, create the ‘Floor‘ for the ‘Location Type‘ and on the ‘RHS‘ organise the location to the ‘Building‘ that you had previously created. You will also be able to add the ‘Floor plan‘ to this ‘Location Type‘ for other users to see.
- Finally, create the ‘Space‘ ‘Location Type‘ and on the ‘RHS‘ organise the ‘Space‘ to the ‘Floor‘ that had been previously created.
- Now Users will be able to see the correct flow of a Location from the ‘Location Site‘ all the way down to the ‘Space‘.
